The Records Management
Office serves the district by tracking all Tyler ISD records (administrative
& campuses records) from their creation to their disposal. While maintaining
Tyler ISD records, the staff researches the information and retrieves
records for departments, schools, and the public as needed. Tyler ISD has
adopted retention schedules provided for compliance by the Texas Library and
Archives Commission, see
Record Retention.
The Records Management Office handles all
Public Information Requests,
Student Records requests,
Transcript Requests, as well as subpoenas and depositions by written
questions (Court
Orders, Subpoenas & DWQ's). The Records Management Officer,
Rosa Miranda-Baker,
is designated as Custodian of Records for all district and student records.

RECORDS REQUEST NOTICE
Please note that you must have some form of ID to obtain
student records/transcripts. Both federal and state laws safeguard student
records from unauthorized inspection or use and provide parents and eligible
students certain rights of privacy. Before disclosing any personally
identifiable information from a student’s records, the district must verify
the identity of the person, including a parent or the student, requesting
the information. In compliance with the Family Education Rights and Privacy
Act (FERPA), Tyler ISD will not generally permit access to, or release of,
educational records or personally identifiable information contained therein
to any party without the written consent of a parent or legal guardian (for
students under the age of 18) or the student/alumni (over the age of 18).
There are no exceptions to this policy, you must be able to provide proof of
identity and be a qualified requestor. See

Transcript
Requests
Transcripts
can be requested online, in person (walk-in), or by mail. NOTE: No
phone, email, or fax requests are accepted. Per Records Management
procedures, requests will be processed within 2 TO 5 BUSINESS DAYS OF
RECEIPT. Due To The High Volume Of Requests And Vast Amount Of
Records This Is Not Always Possible. Technically, transcripts are
educational records (Student Records Requests) and must be responded
as outlined below. Current and previous year graduates can make their
request to their campus Registrar. Any requestor wanting to pay by
debit/credit card or check must place their request through the online
system. A computer is available at the Records Management Office. NEW:
Requests for high school transcripts (Academic
Achievement Records) can be requested through an ONLINE management system.
Student
Records Requests
In compliance
with law and district policy, upon request of a properly qualified
individual, access to a student’s education record shall be granted
WITHIN A REASONABLE PERIOD OF TIME, NOT TO EXCEED 45 DAYS. 34 CFR

Public
Information Requests
In compliance
with the Texas Public Information Act, if the records cannot be produced
within TEN (10) BUSINESS DAYS, the Records Management Officer will
notify the requestor in writing of the REASONABLE DATE AND TIME WHEN IT WILL
BE AVAILABLE. |
