656 - RECORDS AND SCHEDULING OFFICER


REPORTS TO: Principal

QUALIFICATIONS:

  1. Master’s Degree

  2. At least five years successful experience in a public school district, with at least three years at a campus.

  3. Such alternatives to the above qualifications as the Board of Trustees may find appropriate.

SUPERVISES: Registrar, counselors, PEIMS Data Clerk
 


TERMS OF EMPLOYMENT: Administrative/Professional Pay Grade 4, 226 days Wage/Hour Status: Exempt


Major Responsibilities

1.

Uses administration and analytical skills to direct all scheduling procedures.

2.

Encourages staff input in the decision making in the areas of student scheduling and developing the master schedule.

3.

Supervises the offices of the registrar.

4.

Cooperates with the principal, assistant principals, counselors, and other personnel who work with records in the areas of scheduling, report cards, cumulative folders, and academic achievement records.

5.

Coordinates the development of the master schedule, as directed by the principal, by coordinating with department heads.

6.

Keep accurate class load and attendance records; make such information available to counselors and administrators.

7.

Student report cards.

8.

Verify teacher certifications and highly qualified status during the creation of the master schedule.

9.

Monitor certifications and highly qualified status as related to teacher assignment changes.

10.

Enter grade changes as approved by teachers and correct on transcripts.

11.

Post credit recovery credits on transcript and file.

12.

Update NCAA clearinghouse information online for student athlete college scholarships.

13.

Works with other campus personnel to create annual student course guide.

14.

Supervise grade transcripting process for new and current students.

15.

Record eighth grade Algebra I and Spanish I credit for high school credit transferred from Registrar.

16. Evaluate and record transfer credits for transcripts.
17. Record graduation date, rank and grade average on all graduates.
18. Answer questions on transcripts concerning CORE classes.
19.

Collect and file all grade books at the end of the school year.

20.

Answer questions about transcripts, boundary lines for attendance, and GED.

21.

Destroy old grade books after six years.

22.

Mail report cards to parents of student who did not receive report cards.

23.

Maintain all complete grade forms, grade correction sheets, grade change correction forms, by teacher, to be filed in permanent files.

24.

Performs other tasks and assumes such responsibilities as related to the position and as assigned.

25.

Annually establishes and meets performance goals.

26.

Implement the policies established by federal and state law, State Board of Education rule, and local board policy.

27.

Compile, maintain, file, and present all reports, records, and other documents.

28.

Improves leadership skills through self-initiated professional development activities.

29.

Performs duties in a professional, ethical, and responsible manner as defined in the TEA Code of Ethics for Educators.

30. Uses information provided through the District appraisal process to improve performance.

Reading, ability to communicate effectively (verbal and written); maintain emotional control under stress; coordinate campus-wide functions.
Physical Demands: 
Occasional district-wide travel; occasional prolonged and irregular hours; Moderate walking, standing, stooping; heavy lifting and carrying possible.
