810 - Secretary, Director of Advanced Studies


REPORTS TO: Coordinator of Advanced Studies

 

QUALIFICATIONS:        

  1. High school diploma or GED;

  2. Fifteen hours college credit with some business orientation; or equivalent business school background; or three years of general clerical/secretarial experience

  3. Keyboarding and computer proficiency;

  4. Computation, organizational and communication skills

JOB GOALS:                 

  1. To assist in the operation of the office of the Advanced Studies department

  2. To facilitate good relations between the Advanced Studies office and the TISD campuses and departments.


TERMS OF EMPLOYMENT:  Noncontractual (At-will); Clerical/Technical; Paygrade 5; Estimated 226 days; estimated 8 hours daily; wage/hour: nonexempt


MAJOR RESPONSIBILITIES AND DUTIES
 

  1.  

Prepare correspondence, forms, reports, etc. for the department using personal computer and typewriter.

  1.  

Compile pertinent data as needed when preparing various state and local reports.

  1.  

Maintain physical and computerized departmental files.

  1.  

Maintain student records as needed; i.e., gifted/talented, advanced placement, international baccalaureate.

  1.  

Answer incoming calls, take reliable messages, and route to appropriate staff.

  1.  

Assist with the preparation of purchase orders and payment authorizations.

  1.  

Perform routine bookkeeping tasks, including simple arithmetic operations, for the department.

  1.  

Order material from outside vendors, as requested.

  1.  

Assist the coordinator in managing the advanced studies budget.

  1.  

Maintain a schedule of appointments and travel arrangements for coordinator.

  1.  

Receive and sort mail and other documents.

  1.  

Prepare the revised gifted and talented curriculum using personal computer.

  1.  

Assist the coordinator in arranging for staff development sessions for the advanced studies teachers.

  1.  

Provide resources and materials to the advanced studies teachers as requested and as approved by the coordinator.

  1.  

Assist in preparing for parent meetings, including parent advisory committee meetings.

  1.  

Assist the coordinator in grant-writing activities designed to obtain program funding.

  1.  

Prepare agenda items as requested.

  1.  

Complies with directions and instructions from supervisor and performs other tasks and assumes such responsibilities as may be assigned.

  1.  

Maintains positive and cooperative working relationships with colleagues and others in the conduct of district business; demonstrates teamwork in daily activities.

  1.  

Is prompt, timely, and thorough in completing assignments and attending to details accurately and efficiently.

  1.  

Is regular in attendance and complies with notification procedure for absences.

  1.  

Provides complete and accurate information in the conduct of district business.

  1.  

Maintains confidentiality in the conduct of district business.

  1.  

Complies with district policies, as well as state and federal laws and regulations.

Adheres to the district’s safety policies and procedures.

  1.  

Participates in staff development training programs to improve job performance.

  1.  

Participates in meetings and special events as assigned.

 

EQUIPMENT USED:  Uses computer, typewriter, printer, fax, and copier.

 

WORKING CONDITIONS: 
Mental  Demands: 
Reading; ability to perform basic arithmetic; ability to communicate effectively (verbal and written); maintain emotional control under stress.
Physical Demands/Environmental Factors:  Repetitive hand motions; prolonged use of computer.  Works with frequent interruptions.  Moderate standing, stooping, bending, and lifting.
