809 - Secretary, Maintenance Department


QUALIFICATIONS:        

  1. High school diploma or GED;

  2. Fifteen hours college credit with some  business orientation; or equivalent business school background; or three years of general clerical/secretarial experience

  3. Keyboarding and computer proficiency;

  4. Computation, organizational and communication skills

REPORTS TO:           Coordinator of Maintenance          

JOB GOALS:                 

  1. To assist in the operation of the of the Maintenance Department office .

  2. To facilitate good relations between the Maintenance Department office and the TISD campuses and departments.


TERMS OF EMPLOYMENT:  Noncontractual (At-will); Clerical/Technical;   Paygrade 4; Estimated 226 days;  estimated 8 hours daily; wage/hour nonexempt


MAJOR RESPONSIBILITIES AND DUTIES
 

  1.  

Assists visitors, answer incoming calls, take reliable messages, and route to appropriate staff.

  1.  

Dispatch proper service personnel to emergency sites.

  1.  

Write, process work orders as required and/or approved by the director.

  1.  

Process purchase order requests.

  1.  

Prepare correspondence, forms, reports, etc. for the department using personal computer and typewriter.

  1.  

Respond to campus facilities emergency situations with proper actions including notification to public utility companies and/or emergency agencies.

  1.  

Assists in preparation and maintains budget records for the Maintenance department.

  1.  

Perform routine bookkeeping tasks, including basic arithmetic and time computation, for the department.

  1.  

Order material from outside vendors, as requested.

  1.  

Monitor, edit, and process departmental time cards, including leave requests and reports; compile information and submit to the payroll department. Summer elementary and middle school custodial payroll reports.

  1.  

Compile pertinent data as needed when preparing various reports, including accident reports.

  1.  

Establish and maintain physical and computerized departmental files.

  1.  

Schedule maintenance department employees for required training sessions such as related to asbestos and hazardous materials.

  1.  

Complies with directions and instructions from director and performs other tasks and assumes such responsibilities as may be assigned.

  1.  

Maintains positive and cooperative working relationships with colleagues and others in the conduct of district business; demonstrates teamwork in daily activities.

  1.  

Is prompt, timely, and thorough in completing assignments and attending to details accurately and efficiently.

  1.  

Is regular in attendance and complies with notification procedure for absences.

  1.  

Provides complete and accurate information in the conduct of district business.

  1.  

Maintains confidentiality in the conduct of district business.

  1.  

Complies with district policies, as well as state and federal laws and regulations.

  1.  

Adheres to the district’s safety policies and procedures.

  1.  

Participates in staff development training programs to improve job performance.

  1.  

Participates in meetings and special events as assigned.

   24.

Manage rentals of all district facilities with the exception of Caldwell Auditorium, Athletic Facilities and Robert E. Lee Fine Arts Center.

   25.

Manage booking of the Plyler Complex meeting rooms for district use.

 

EQUIPMENT USED:

                Uses computer, typewriter, printer, fax, and copier, calculator, radio dispatching system.

WORKING CONDITIONS:

Mental  Demands:  Reading; ability to perform basic arithmetic; ability to communicate effectively (verbal and written); maintain emotional control under stress.

Physical Demands/Environmental Factors:  Repetitive hand motions; prolonged use of computer.  Works with frequent interruptions.  Moderate standing, stooping, bending, and lifting.
