806 - ADMINISTRATIVE ASSISTANT, DIRECTOR OF ASSESSMENT AND ACCOUNTABILITY


REPORTS TO: Director of Assessment and Accountability

 

QUALIFICATIONS:        

  1. High school diploma or GED;

  2. Thirty semester hours of college credit with some business orientation or equivalent business school training; or successful demonstration of seven areas of competency, including keyboarding and computer proficiency, transcription, filing procedures, office records, management and business writing, or five years general clerical/secretarial experience;

  3. Computation, organizational and communication skills

  4. Maintains Pearson Online Data Management System for state assessment


TERMS OF EMPLOYMENT:  Noncontractual (At-will); Clerical/Technical   Paygrade 7 Estimated 226 days;   estimated 8 hours daily; wage/hour: nonexempt


MAJOR RESPONSIBILITIES AND DUTIES

 

  1.  

Maintains calendar of events and meetings; set appointment for director; maintain director's file and departmental personnel files. Schedules appointments, arranges conferences, meetings and travel plans as needed for supervisor.

Screens telephone calls and re-routes to appropriate administrator when necessary.
  1.  

Types letters, memos, and other correspondence. Compile and distribute various reports, board items, etc. as directed.

Maintains filing system of reports, correspondence, etc.
  1.  

Opens and processes mail.
  1.  

Orders supplies, performs bookkeeping tasks, processes purchase order requisitions, and travel forms.
  1.  

Reserves meeting rooms, coordinates material for those attending, makes necessary food arrangements.
  1.  

Maintains records of sick leave, out of district travel, vacations, and other absences of staff.
  1.  

Prepares graphics requisitions, duplicates materials, and distributes when applicable.
  1.  

Maintains all Assessment and Accountability budgetary records, purchase orders, and monitoring of funds.
  1.  

Records budgetary transactions for Assessment and Accountability.
  1.  

Processes purchase orders; researches materials, typing, coding, and follow-up of orders that involve accurately checking in materials.
  1.  

Complies with directions and instructions from supervisor and performs other tasks and assumes such responsibilities as may be assigned.
  1.  

Maintains positive and cooperative working relationships with colleagues and others in the conduct of district business; demonstrates teamwork in daily activities.
  1.  

Is prompt, timely, and thorough in completing assignments and attending to detail accurately and efficiently.

Provides complete and accurate information in  the conduct of district business.

Maintains confidentiality in the conduct of district business.

Collects, processes, distributes and maintains accurate records for the district assessment programs.

Prepares local, state and national reports using computers, visuals, and graphics.
  1.  

Provides accountability lists for test materials, reports and staff development.
  1.  

Maintains a system of student achievement records and yearly comparison reports.
  1.  

Prepares and keeps current the district student assessment notebooks.

Collects TAAS/TAKS out-of-school exam materials and schedules testing sites.
    30. Maintains official district test result files.
    31. Assists in testing underage students, home-schoolers, students from other non-accredited educational sources, and students failing to master the state assessments.
    32. Maintains accurate credit-by exam files each six weeks.
    33. Compiles statistical data.
    34. Updates, reorders, and maintains an adequate supply of all printed material.
    35. Processes and codes all purchase orders, purchase requisitions, distribution center requests; maintain orderly file for quick reference for all assessment products.
    36. Balances monthly budget printout.
    37. Meets attendance standards and complies with notification procedures for absences.
    38. Maintains budget reports for Instructional Assessment office.

 

EQUIPMENT USED:   

Uses computer, typewriter, printer, fax, and copier. 
 

WORKING CONDITIONS:

 Mental  Demands:  Reading; ability to perform basic arithmetic; ability to communicate effectively (verbal and written); maintain emotional control under stress. 

 Physical Demands/Environmental Factors:  Repetitive hand motions; prolonged use of computer.  Works with frequent interruptions.
