799 - SECRETARY, DIRECTOR OF ELEMENTARY EDUCATION


QUALIFICATIONS:        

  1. High School Diploma or GED

  2. Two years experience as Educ. Secy I; or 15 hours college credit with some business orientation; or equivalent business school background; or three years of general  clerical/secretarial experience

  3. Keyboarding and computer proficiency

  4. Computational, organizational, and communication skills

REPORTS TO:                     Director of Elementary Education

JOB GOALS:                 

  1. To maintain current district, TEA and federal mandated reports.

  2. To maintain an efficient office management system for  the  Director of Elementary Education

  3. To maintain a professional and cooperative atmosphere with  colleagues at the administrative and campus level.


TERMS OF EMPLOYMENT:  Noncontractual (At-will);  Paygrade   5 Estimated 228  days;  estimated 8 hours  daily Wage/Hour Status:  Nonexempt                                     


MAJOR RESPONSIBILITIES AND DUTIES
 

  1.  

Answers incoming calls, takes reliable messages.

  1.  

Receives, sorts, and processes mail and other documents

  1.  

Responds to questions from campuses and parents as they arise.

  1.  

Communicates by telephone and through written correspondence with campus personnel and the community.

  1.  

Prepares and maintains budget records for the Director of Elementary Education.

  1.  

Processes travel expense reports for the Director of Elementary Education.

  1.  

Receives, stores, and issues supplies and equipment.

  1.  

Orders materials from outside vendors.

  1.  

Schedules meetings and appointments; reserves rooms, refreshments.

  1.  

Assists supervisor in securing supplies for scheduled meetings, including media and printed materials.

  1.  

Prepares correspondence, forms, reports, etc.

  1.  

Compiles pertinent data as needed when preparing various state and local reports.

  1.  

Makes travel arrangements for supervisor; compiles absence from duty reports.

  1.  

Prepares board agenda items as requested.

  1.  

Researches information as needed for projects, reports or handouts.

  1.  

Copy, organize, and distribute materials to campuses as needed.

  1.  

Assists with the preparation of purchase orders and payment authorizations.

  1.  

Complies with directions and instructions from supervisor; performs other tasks and assumes such responsibilities as may be assigned.

  1.  

Maintains positive and cooperative working relationships with colleagues and others in the conduct of district business and demonstrates teamwork in daily activities.

  1.  

Is prompt, timely, and thorough in completing assignments and attending to details accurately and efficiently.

  1.  

Is regular in attendance and complies with notification procedures for absences.

  1.  

Provides complete and accurate information in the conduct of district business.

  1.  

Maintains confidentiality in the conduct of district business.

  1.  

Complies with district policies, as well as state and federal laws and regulations.

  1.  

Adheres to the district’s safety policies and procedures.

  1.  

Participates in staff development training programs to improve job performance.

  1.  

Participates in meetings and special events as assigned.

   28. If applicable, input, verify, or update PEIMS information as assigned by supervisor.

EQUIPMENT USED:

                Uses calculator, copier, typewriter, computer, fax machine, and other office equipment. 

WORKING CONDITIONS:

Mental Demands:  Reading; ability to communicate effectively (verbal and written); maintain emotional control under stress; ability to perform basic arithmetic; ability to perform multiple tasks.   

Physical Demands/ Environmental Factors:  Moderate standing, walking, stooping, bending, and lifting. Work with frequent interruptions; repetitive hand motions; prolonged use of computer.
