797 - ADMINISTRATIVE ASSISTANT, DIRECTOR OF SPECIAL EDUCATION


QUALIFICATIONS:        

  1. High school diploma or GED; business school or college credits; or three years secretarial or related experience preferred

  2. Demonstrates interest in and aptitude for work to be performed

  3. Ability to grow professionally

  4. Keyboarding and computer proficiency

  5. Organizational, computation, and communication skills

REPORTS TO:                     DIRECTOR OF SPECIAL EDUCATION

JOB GOALS:                 

  1. Assure the smooth and efficient operation of the office for maximum positive impact on education of children

  2. Facilitate communication between staff, campuses, parents, and community

  3. Maintains special education administrative records  


TERMS OF EMPLOYMENT:  Noncontractual (At-will); Clerical/Technical     Paygrade 5 Estimated 226 days;   estimated 8 hours daily Wage/hour status:  Nonexempt


MAJOR RESPONSIBILITIES AND DUTIES
 

  1.  

Types a variety of materials such as letters, memos, curriculum reports, grants, amendments to grants, budgets, statistical reports, etc.; operate copy machine; maintain files.

  1.  

Open all incoming mail; distribute other mail; process incoming correspondence.

  1.  

Answer phones, screen calls, direct calls as needed.

  1.  

Process time cards for Special Education Clerks, Job Coaches and Administrative Assistants
  1.  

Process extra-duty pay requests for professional and support staff.

  1.  

Process pay requests from contract personnel.
  1.  

Process direct pay requests.
  1.  

Maintain schedules of all special education support personnel.

  1.  

Process Special Transportation forms.

  1.  

Arrange for meeting rooms, refreshments, and materials for professional meetings.

  1.  

Coordinate efforts of other special education clerical personnel at the administration complex.

  1.  

Proof and edit correspondence and other written material.

  1.  

Arrange for community based experiences for Special Education classes.

  1.  

Send requests to attend professional meeting forms to teachers and administrative personnel and process forms when returned.

  1.  

Prepare handouts and type agenda, sign-in sheets, and attendance certificates for monthly staff meeting.

  1.  

Copy ARD notices and mail to appropriate personnel and other districts for RDSPD.

  1.  

Welcome visitors and look after their needs.

  1.  

Act as liaison between director and other personnel.

  1.  

Schedule appointments for interviews, etc., for the director.

  1.  

Complies with directions and instructions from supervisor and performs other tasks and assumes such responsibilities as related to the position as may be assigned.

  1.  

Maintains positive and cooperative working relationships with colleagues and others in the
conduct of district business and demonstrates team work in daily activities.

  1.  

Is prompt and timely in completing daily tasks.

  1.  

Meets attendance standards and complies with notification procedures for absences.

  1.  

Provides complete and accurate information in the conduct of district business.

  1.  

Maintains confidentiality in the conduct of district business.

  1.  

Complies with district policies, as well as state and federal laws and regulations as well as
special education policies and procedures.

  1.  

Inputs data into TEA site for SPP 7
  1.  

Complies with “Expectations/Guidelines for the Special Education Department”.

  1.  

Adheres to the district’s safety policies and procedures.

Participates in staff development training programs to improve job performance.

Participates in meetings and special events as assigned.

EQUIPMENT USED: 

Uses computer, (IBM, e-mail, Microsoft Office, AS400, Micro-Sped, Internet, typewriter, printer, copier, PBX, FAX, calculator, and telephone. 

WORKING CONDITIONS: 

Mental Demands: Reading, ability to communicate effectively (verbal and written); maintain emotional control under stress.

Physical Demands/Environmental Factors:  Repetitive hand motions; prolonged use of computer; moderate standing, stooping, bending and lifting.  Works with frequent interruptions; stands at copy machine for extended periods of time.
