796 - SECRETARY, Director of Maintenance


QUALIFICATIONS:        

  1. High school diploma or GED; 30 sem. hours of college credit; or at least three years related, preferred work experience.

  2. Demonstrates interest in and aptitude for work to be performed

  3. Ability to grow professionally

  4. Keyboarding and computer proficiency

  5. Computation, organization, and communication skills.

REPORTS TO:           Director  of Maintenance                             

JOB GOALS:                 

  1. To maintain the office daily operations.               

  2. To facilitate maintenance related repairs.

  3. To establish public relations between the district and community.

  4. To communicate in a positive way with the campuses and departments.


TERMS OF EMPLOYMENT:  Noncontractual (At-will); Clerical/Technical   Paygrade 4 Estimated 228 days;   estimated 8 hours daily; Wage/hour status:  Non-exempt


MAJOR RESPONSIBILITIES AND DUTIES
 

  1.  

Prepares correspondence, memorandums, forms, requisitions, and reports for the Director of Maintenance.

  1.  

Receive and process work orders and emergency requests for service.

  1.  

Compile pertinent data to prepare various required state and local reports.

  1.  

Maintain physical and computerized departmental files, including preventive maintenance data and work orders.

  1.  

Keep up-to-date files for all department employees.

  1.  

Answer incoming calls, take messages, and route them to appropriate staff.

  1.  

Answer incoming calls and handle questions and requests that fall within level of responsibility.

  1.  

Perform routine bookkeeping tasks, including simple arithmetic operations, to maintain departmental budget records.

  1.  

Prepare purchase orders and payment authorizations.

  1.  

Assist with inputting all supply and equipment purchase information in computer.

  1.  

Complies with directions and instructions from supervisor and performs other tasks and assumes such responsibilities as may be assigned.

  1.  

Maintains positive and cooperative working relationships with colleagues and others in the conduct of district business; demonstrates teamwork in daily activities.

  1.  

Is prompt, timely, and thorough in completing assignments and attending to details accurately and efficiently.

  1.  

Meets attendance standards and complies with notification procedure for absences.

  1.  

Provides complete and accurate information in the conduct of district business.

  1.  

Maintains confidentiality in the conduct of district business.

  1.  

Complies with district policies, as well as state and federal laws and regulations.

  1.  

Adheres to the district’s safety policies and procedures

Participates in staff development training programs to improve job performance.

  1.  

Participates in meetings and special events as assigned.

 

EQUIPMENT USED:   

                Uses computer, typewriter, printer, fax, and copier.

WORKING CONDITIONS:

Mental  Demands:  Reading; ability to perform basic arithmetic; ability to communicate effectively (verbal and written); maintain emotional control under stress. 

Physical Demands/Environmental Factors:  Repetitive hand motions; prolonged use of computer.  Works with frequent interruptions.
