795A CAMPUS OPERATIONS MANAGER
QUALIFICATIONS:
- High school diploma or GED;
- fifteen hours college credit with some business orientation or equivalent
business school background;
- three to four years experience in office management or similar experience;
- computer proficiency;
- organization and communication skills.
REPORTS TO: Principal
SUPERVISES: Receptionist; Clerk (if applicable at campus); Secondary supervisor of Discipline Secretaries in order to coordinate clerical workloads; Maintenance; Custodians; Cafeteria Staff
JOB GOALS:
- Coordinate office staff to insure work flow is effective and efficient
Serves as primary point of contact for all campus operations.
TERMS OF EMPLOYMENT: Noncontractual (At-will); Clerical/Technical
Paygrade 7 Estimated 214 days; estimated 8 hours daily; wage/hour: nonexempt
MAJOR RESPONSIBILITIES AND DUTIES
- This position will perform or coordinate the day-to-day operational duties related to the following areas, for which an
Assistant Principal is ultimately responsible:
· Free/Reduced Lunch
· Textbooks
· Student Lockers
· Parking Permits
- Supervises the Receptionist.
- Supervises a clerk.
- Coordinate any bilingual/translation assistance needed on the campus.
- Maintains current master calendar and assigns appropriate custodial overtime for activities after school; handles
equipment needs.
- Issues building keys to employees.
- Issues employee and student parking permits.
- Initiates and signs work orders for repairs of building, grounds and equipment, including computers and
equipment. Monitors status of work orders.
- Coordinates building facility use by staff, district personnel, City of Tyler, parent organizations, community groups,
etc.; maintains facility use schedule.
- Updates/maintains office staff handbook.
- Assigns back-up if Principal’s Secretary is absent.
- Receives first notification of non-faculty absences; (staff will notify this person when absent, but this is not a
reporting relationship). Notifies Accountant, if necessary, for payroll purposes.
- Supervises the Head Custodian, Assistant Head Custodian, Groundskeeper and custodial staff in the maintenance,
cleaning and repairs of the buildings and grounds.
- Orders, issues and accounts for textbooks.
- Maintains students’ locker and combination assignments.
- Coordinates computer software and hardware purchases, distribution, and installation. Works closely with
Assistant Principals and Accountant in this capacity.
- Maintain inventory, including computers, software, audio/visual equipment, copiers, furniture, equipment, and
other assets.
- Ensures quality and timely customer service at front desk.
- Serves as substitute contact; directs assigned substitutes to classrooms, finds additional substitutes, assigns
permanent substitutes.
- Collects Free & Reduced Lunch applications & reviews forms for completeness before submitting to Central Office.
Calls parents to verify info as necessary; obtains certain certifications from Central immediately.
- Assigns backup for the receptionist during breaks, lunch and high volume times.
- Oversees maintenance of employee and substitute records on the district’s database system.
- Coordinates with purchasing and other district departments when repairs are needed for copy machines, computers, etc.
- Order transportation for student events.
- Fill-in sub duties.
- Institute random audits of system data and files in the following areas:
− Attendance
− Discipline
− CUM folders
− Grades
- Create staff productivity and quality goals, which will affect performance reviews.
- Maintains positive and cooperative working relationships with colleagues and others in the conduct of district business; demonstrates
teamwork in daily activities.
- Is prompt, timely, and thorough in completing assignments and attending to detail accurately and efficiently.
- Is regular in attendance and complies with notification procedure for absences.
- Provides complete and accurate information in the conduct of district business.
- Maintains confidentiality in the conduct of district business.
- Complies with district policies, as well as state and federal laws, and regulations.
- Adheres to the district's safety policies and procedures.
EQUIPMENT USED:
Uses computer, typewriter, printer, fax, and copier.
WORKING CONDITIONS:
Mental Demands: Reading; ability to perform basic
arithmetic; ability to communicate effectively
(verbal and written); maintain emotional control under stress.
Physical Demands/Environmental Factors: Repetitive hand motions; prolonged use of computer.
Works with frequent interruptions.
