792 - PAYROLL SPECIALIST


QUALIFICATIONS:        

  1. High School Diploma or GED; business school, college credit or three years payroll, accounting, or related experience preferred.

  2. Demonstrates interest in and aptitude for work to be performed.

  3. Keyboarding, computer, and calculator  proficiency.

  4. Computational, organizational, and communication skills

REPORTS TO:                     Coordinator of Payroll

JOB GOALS:                 

  1. Prepare manual trades and clerical technical payrolls for the district.  

  2. Ensure accuracy and timely preparation of payroll records.


TERMS OF EMPLOYMENT:  Noncontractual (At-will); Paygrade  6 Estimated 228  days;  estimated 8 hours  daily


MAJOR RESPONSIBILITIES AND DUTIES
 

1.       

Prepare manual trades and clerical technical payroll.

2.       

Assist in preparing all payroll checks and distributing them to the campuses and department.

3.         

Assist in preparing and submitting payroll reports and forms including IRS, TEC, TRS, FICA, Medicare, and Workers’ Compensation.

4.       

Maintain physical and computerized payroll files.

5.         

Prepare and post non-professional changes, including payroll deductions, salary changes, termination, and new employee information.

6.        

Prepare IRS, child support and student loan garnishments as needed.

7.         

Communicate with the personnel department, campus/department secretaries, and employees to ensure accuracy of information reported; resolve payroll problems and inquiries.

8.        

Respond to requests from institutions regarding verification of employment and salary.

9.        

Reconcile payments to vendor for various insurance deductions.

10.        

Assist in completing surveys as requested.

11.     

Complies with directions and instructions from supervisor and performs other tasks and assumes such responsibilities as related to the position and may be assigned.

12.     

Maintains positive and cooperative working relationships with colleagues and others in the conduct of district business and demonstrates team work in daily activities.

13.     

Is prompt and timely in completing assignments and attending to details accurately and efficiently.

14.     

Meets attendance standards and complies with notification procedures for absences.

15.     

Provides complete and accurate information in the conduct of district business.

16.     

Maintains confidentiality in the conduct of district business.

17.     

Complies with district policies, as well as state and federal laws and regulations.

 

EQUIPMENT USED: 

Uses computer, typewriter, printer, copier, FAX, calculator, and telephone. 

WORKING CONDITIONS: 

Mental Demands: Reading, ability to communicate effectively (verbal and written); ability to work with numbers in an accurate and rapid manner; ability to operate computer; ability to meet established deadlines; ability to maintain accurate and auditable records; maintain emotional control under stress. 

Physical Demands/Environmental Factors:  Repetitive hand motions; prolonged use of computer terminal;  occasional heavy lifting required.
