785A - ADMINISTRATIVE ASSISTANT, SUBSTITUTE SERVICES


REPORTS TO: Executive Director of Human Resources

 

QUALIFICATIONS:        

  1. High School Diploma or GED

  2. Thirty hours college credit with some business orientation; or equivalent business school background; or three years of general clerical/secretarial experience

  3. Keyboarding and computer proficiency

  4. Computational, organizational, and communication skills

JOB GOALS:                 

  1. To secure substitutes for teachers and paraprofessionals.

  2. To process and distribute the Substitute Handbook.

  3. To assist the Human Resources Department to operate in a smooth and efficient manner


TERMS OF EMPLOYMENT: Noncontractual (At-will); Clerical/Technical Pay Grade 6; 226 days. Estimated 8 hours daily. Wage/Hour/Status: non-exempt


MAJOR RESPONSIBILITIES AND DUTIES
 

1.      

Input every employee into the absentee/substitute systems as it relates to payroll.

2.      

Enter absences for employees for payroll verification.

3.      

Verify that all vacant positions are in the absentee/substitute system for payroll verification.

4.      

Monitor jobs on system and respond appropriately.

5.      

Assist all employees with absentee/substitute system daily.

6.      

Receive information from principals on the substitute’s performance in the classroom.  

7.      

Document and file information in the substitute’s application/file. 

8.      

Notify the Executive Director of Human Resources of all negative substitute reports.

9.      

Receive complete documentation and interview applicants for substitute teacher and substitute aide positions, as needed.

10.   

Ensure that the substitute application file is up-to-date, all credentials are present, and all files are readily accessible to other Human Resource department employees including the payroll department.

11.   

Assist Payroll Department in verifying files with monthly payroll reports

12.   

Shred/destroy outdated substitute records in accordance with the district-wide records management plan.

13.   

File a copy of the reasonable assurance letter with the applications.

14.   

Design and maintain computer substitute file.

15.   

Run Criminal History Reports as needed for substitutes.

16.   

Inform the Executive Director of Human Resources of all negative Criminal History Report results.

17.   

Assist in the distribution of administrative, clerical/technical, and teacher appraisal instruments.

18.   

Revise, print, and distribute the Substitute Handbook on an annual basis.

      19.

Annually update, print, and distribute personnel handbook and directory; maintains current work-site postings.

      20. 

Assist in processing purchase and graphic orders, when requested.

21.   

Schedule in-service meetings for new and returning substitutes.

22.   

Assist in responding to unemployment claims in a timely manner.

23.   

Document substitutes’ attendance of required in-service meetings on the substitutes’ application/file.

24.   

Edit and correct data as related to substitutes.

25.   

Assist in distributing reasonable assurance letters to C/T employees.

26.   

Maintain notary license.

27.   

Answer the department’s telephone in the absence of the Human Resources Administrative Assistant.

28.   

Assist in preparing, proofing, and distributing contracts to professional employees, when requested.

29.   

Demonstrates willingness to assist in other areas of the Human Resources Department.

30.   

Limits personal telephone calls during the business day.

31.   

Complies with directives from supervisor and performs other tasks and assumes such responsibilities as related to the position and assigned.

32.   

Maintains positive and cooperative working relationships with colleagues and others in the conduct of district business and demonstrates team work in daily activities.

33.   

Is prompt and timely in completing assignments and attending to details accurately and efficiently.

34.   

Is regular in attendance and complies with notification procedures for absences.

35.   

Provides complete and accurate information in the conduct of district business.

36.   

Maintains confidentiality in the conduct of district business.

37.   

Complies with district policies, as well as state and federal laws and regulations.

38.   

Adheres to the district’s safety policies and procedures.

39.   

Participates in staff development training programs to improve job performance.

40.   

Participates in meetings and special events as assigned.

Uses computer, typewriter, printer, copier, FAX, calculator, and telephone.

Mental Demands:
Reading, ability to communicate effectively (verbal and written); ability to perform basic arithmetic; maintain emotional control under stress; works with frequent interruptions. 
Physical Demands/Environmental Factors: 
Repetitive hand motions; prolonged use of computer terminal and telephone; occasionally lifting heavy boxes
