782A - ADMINISTRATIVE ASSISTANT, PRINCIPALS OF JONES/BOSHEARS SCHOOL


REPORTS TO: Principals of Jones and Boshears

QUALIFICATIONS:        

  1. High School Diploma or GED
  2. Fifteen hours college credit with some business orientation; or equivalent business school background; or three years of general clerical/secretarial experience
  3. Keyboarding and computer proficiency
  4. Computational, organizational, and communication skills

JOB GOALS:                 

  1. To assure the smooth and efficient operation of the Principal’s office.
  2. To provide clerical services for the school’s administrative staff. 
  3. To facilitate communication between staff, campuses, parents, and community.                  

TERMS OF EMPLOYMENT:  Noncontractual (At-will); Paygrade5 Estimated 226 days; estimated8 hours daily Wage/Hour Status: Nonexempt


MAJOR RESPONSIBILITIES AND DUTIES
 

 1.

Answers incoming calls, takes reliable messages

 2.

Receives , sorts, and processes mail and other documents

 3.

Effectively communicates with staff, parents, and general public

 4.

Responds to questions from teachers and parents as they arise

 5.

Schedules meetings and appointments; reserves rooms

 6.

Assists supervisor in securing supplies for scheduled meetings including media, printed materials, and refreshments

 7.

Researches information as needed for projects, reports, or handouts

 8.

Maintain computerized files on the withdrawn students; prepare enrollment reports

 9.

Receives and completes requests for records from other schools/districts via T-REX

 10.

Schedules school activities

 11.

Screens telephone calls and routes to appropriate administrator when necessary

 12.

Maintains filing system of reports, correspondence, etc

 13.

Opens and processes mail for principals

 14.

Notifies principals of scheduled meetings

 15.

Prepares graphics requisitions, duplicates materials, and distributes when applicable

 16.

Assist students, teachers, and parents as needed.

 17.

Maintain physical and computerized files including but not limited to inventory of school and office supplies, mailing lists, student records, visitor logs, and office communication.

 18.

Process maintenance work orders.

 19.

Process purchase order requests, including requisitions for materials from outside vendors.

 20.

Maintains physical and computer records on purchase order requests, including requisitions, receipts, etc

 21.

Prepare and make cash deposits for school.  May be responsible for activity checkbook(s) and ledger(s).

 22.

Write checks, balance checkbook; reconcile bank statements.

 23.

Calculate and prepare sales tax reports.

 24.

Perform routine bookkeeping tasks including simple arithmetic operations to maintain the campus budget records; balance budget codes with monthly printout.

 25.

Maintain records on money received on lost and damaged textbooks.

 26.

Prepare payroll reports, absence from duty reports, and substitute reports.

 27.

Maintains physical and computerized records of payroll reports, absence from duty reports, and substitute reports

 28.

Complies with directions and instructions from supervisor and performs other tasks and assumes such responsibilities as related to the position and may be assigned.

 29.

Maintains positive and cooperative working relationships with colleagues and others in the conduct of district business and demonstrates team work in daily activities.

 30.

Is prompt and timely in completing assignments and attending to details accurately and efficiently.

 31.

Has regular attendance and complies with notification procedures for absences.

 32.

Provides complete and accurate information in the conduct of district business.

 33.

Maintains confidentiality in the conduct of district business.

 34.

Complies with district policies, as well as state and federal laws and regulations.

 35.

Adheres to the district’s safety policies and procedures.

 36.

Participates in staff development training programs to improve job performance.

 37.

Participates in faculty meetings and special events as assigned.

 

 

 

EQUIPMENT USED: Uses computer, typewriter, printer, copier, FAX, calculator, and telephone. 

WORKING CONDITIONS: 

Mental Demands: Reading, ability to communicate effectively (verbal and written); ability to perform basic arithmetic; maintain emotional control under stress. 

Physical Demands/Environmental Factors:  Repetitive hand motions; prolonged use of computer terminal; works with many interruptions; moderate standing, stooping, bending, and lifting; occasional lifting of boxes.
