769 - FOOD SERVICE DEPARTMENT SUPPLY CLERK/BOOKKEEPER


REPORTS TO:  Director of Food Service

QUALIFICATIONS:        

  1. High School Diploma or GED
  2. Three years of clerical/secretarial experience
  3. Computer proficiency, knowledge of the Child Nutrition Program is a plus.
  4. Computational, organizational, and communication skills

JOB GOALS:                 

  1. To order food and supplies for the District Food Service Department, accurately and timely.
  2. To coordinate deliveries of warehouse supplies to all schools
  3. To monitor the accuracy of requisitions before and after completing the order.
  4. To communicate with all food/non-food vendors.

TERMS OF EMPLOYMENT:  Noncontractual (At-will); Paygrade 4  Estimated 226 days; estimated 8 hours daily Wage/hour status: Nonexempt


MAJOR RESPONSIBILITIES AND DUTIES
 

1.

Assists with meal application processing and phone support when needed.

2.

Verifies account codes for accuracy and availability of funds.   

3.

Verifies the accuracy of the requisitions after they are filled, and before they are shipped to the campuses.

4.

Inputs information into the computer; maintains files of transactions.    

5.

Maintain grocery order guides for accuracy or price and product count according to bid specifications.

6.

Checks in all delivered supplies, requisitioned against purchase order.

7.

Input into computer receipts for merchandise received at warehouse.

8.

Inventory all food and supplies on a regular basis and reports discrepancies to Director.

9.

Coordinates with Vendors/District Warehouse on the pick up and delivery of food and supplies to all campuses.

10.

Review all grocery orders for accuracy, ensuring the appropriate Supervisor has reviewed and approved order.

11.

Acts as liaison between schools and vendors.

12.

Assist with bid specification of items and maintaining records of usage on such items.

13.

Work with campus managers and kitchen staff to help ensure proper delivery of product.

14.

Notify schools of all new items as well as discontinued items.

15.

Provides information to staff in an accurate and timely manner.

16.

Cooperates with other office personnel in scheduling deliveries.

17.

Assist with training issues on receiving deliveries according to proper state and local health guidelines.

18.

Ensures the blanket PO's for food and supplies are up-to-date each month.

19.

Collect and organize all receipts from schools and match to vendor statements to be paid each month.

20.

Work with accounts payable department to ensure all bills are up-to-date.

21.

Complies with directions and instructions from Director and performs other tasks and assumes such responsibilities as related to the position and may be assigned.

22.

Maintains positive and cooperative working relationships with colleagues and others in the conduct of district business and demonstrates team work in daily activities.

23.

Is prompt and timely in completing assignments and attending to details accurately and efficiently.

24.

Meets attendance standards and complies with notification procedures for absences.

25.

Provides complete and accurate information in the conduct of district business. 

26.

Maintains confidentiality in the conduct of district business.

27.

Complies with district policies, as well as state and federal laws and regulations.

28.

Displays a willingness to try new directions and ideas from supervisor.

29.

Adheres to the district’s safety policies and procedures.

30.

Participates in staff development training programs to improve job performance.

31.

Participates in meetings and special events as assigned.


EQUIPMENT USED: 
Uses computer, printer, copier, FAX, calculator, and telephone.  May need to operate district delivery van.

Mental Demands:
Reading, ability to communicate effectively (verbal and written); ability to perform basic arithmetic and to compile statistical data; maintain emotional control under stress. 
Physical Demands/Environmental Factors: 
Repetitive hand motions; prolonged use of computer terminal;  heavy lifting required; insurable; exposed to extreme hot or cold temperatures.
