757A- RECORDS MANAGEMENT CLERK


REPORTS TO:     Records Management Officer   

QUALIFICATIONS:        

  1. High school diploma or GED;
  2. Keyboarding and computer proficiency;         
  3. Have legal and/or school records related experience or background, preferred;
  4. Organizational and communication skills;
  5. Have office experience related to customer interaction and service.
  6. Be a Texas State Notary (preferred), or be able to obtain certification.

  2. To assure the smooth and efficient operation of the office.
  3. To assist the Records Management Officer as assigned.

TERMS OF EMPLOYMENT:  Noncontractual (At-will); Clerical/Technical Paygrade 2  Estimated 226 days; estimated 8 hours daily; wage/hour: nonexempt


MAJOR RESPONSIBILITIES AND DUTIES
 

1.        

Assist Records Management Officer with receptionist duties; including data input, answering the telephone, taking messages, and making phone calls, calendaring, copying, filing, faxing, and obtaining records from TISD campuses and departments.

2.        

Assist with processing public information requests and student educational records, as well as subpoenas and requests for depositions on written questions.  Counter responsibilities including, but not limited to:  receiving various records requests.

3.        

Filing responsibilities, including but not limited to:  purchase orders, warehouse orders, records requests, and internal records retention and review schedules, including student records.

4.        

Process incoming mail and all outgoing mail

5.        

Complies with directions and instructions from supervisor and performs other tasks and assumes such responsibilities as may be assigned.

6.        

Maintains positive and cooperative working relationships with colleagues and others in the conduct of district business and demonstrates teamwork in daily activities.

7.        

Is prompt, timely, and thorough in completing assignments and attending to details accurately and efficiently.

8.        

Meets attendance standards and complies with notification procedures for absences.

9.        

Provides complete and accurate information in the conduct of district business.

10.     

Maintains confidentiality in the conduct of district business.

11.     

Complies with district policies, as well as state and federal laws and regulations.

12.     

Adheres to the district’s safety policies and procedures.

13.     

Participates in staff development training programs, faculty meetings, and special events as assigned.

 

EQUIPMENT USED: Personal computer, typewriter, laminator, copier, duplicators, paper cutter, hole puncher, shredder, and fax machine.

WORKING CONDITIONS: 
Mental Demands:
  Reading, ability to communicate effectively (verbal and written); maintain emotional control under stress; and works with frequent interruptions. 
Physical Demands:
  Repetitive hand motions; prolonged use of computer; and ability to lift and carry up to 30 lbs.
