755B - ADMINISTRATIVE ASSISTANT FACILITATOR/DIAGNOSTICIAN - ST. LOUIS


REPORTS TO:   Severe/Profound Low Incidence Populations Facilitator

QUALIFICATIONS:

  1. High school diploma or GED; business school or college credits, or three years secretarial or related experience preferred.

  2. Demonstrates interest in and aptitude for work to be performed.

  3. Ability to grown professionally.

  4. Keyboarding and computer proficiency.

  5. Organizational, computation, and communication skills.

JOB GOALS:

  1. Assure the smooth and efficient operation of the office as it relates to ARD process, scheduling, and documentation for maximum positive impact on education of children with disabilities.
  2. Facilitate communication between staff, campuses, parents, and community.
  3. Maintains special education administrative records, including referrals.
  4. Assist diagnostician with clerical duties.
 

TERMS OF EMPLOYMENT:  Noncontractual (At-will); Paygrade 3  Estimated days;  estimated 8 hours daily Wage/Hour Status:  Nonexempt


MAJOR RESPONSIBILITIES AND DUTIES
 

  1.  

Types a variety of materials such as letters, memos, reports, and correspondence and speech agendas.
  1.  

Answer telephones, distribute messages as needed.
  1.  

Orders supplies and maintains supply closet.
  1.  

Completes work orders as needed by the department.
  1.  

Receive and complete requests from other school districts and agencies for student records (folders and microfilm).
  1.  

Mail request to other districts, doctors, hospitals, etc. for information required on students.
  1.  

Duplicate various documents, forms, etc., for TISD personnel.
  1.  

Mail copies of materials regarding workshops, notices of meetings, and general information.
  1.  

Prepare inactive confidential folders for microfilming, i.e. organize materials in proper order, remove staples, paper clips; microfilm.
  1.  

Open mail, distribute mail as required; process incoming correspondence as required.
  1.  

Maintain regular filing system.
  1.  

Maintain forms in file cabinet.
  1.  

Welcome visitors.
  1.  

Act as liaison between consultants and other personnel.
  1.  

Process "Notice of ARD" forms by completing the form, mailing to parents, sending ARD reminder notices to parents, verbal communication with parents and documentation of contact efforts.
  1.  

Maintain folders in the correct order as mandated by district guidelines as per supervisor's directions.
  1.  

Audit folders for home language survey, SDAA reports, and other records.
  1.  

Copy records as requested by SSA, parents or other schools. etc.
  1.  

Assist in the collection of re-evaluation information by reviewing AS-400 enrollment information, home language survey, student class schedule, parent contact information, health screening information and distributing required forms for completion.
  1.  

Access records on the AS-400/TEAMS.
  1.  

Assist in organizing and collating ARD documents at the completion of ARD meeting.
  1.  

Assist in the preparation of Annual Review Summaries.
  1.  

Promote a positive attitude toward special needs students and services.
  1.  

Conduct oneself in a professional, ethical manner, in accordance with generally accepted community standards; complies with TEA code of ethics.
  1.  

Complies with directions and instructions from supervisor and performs other tasks and assumes such responsibilities as may be assigned.

Maintains positive and cooperative working relationships with colleagues and others in the conduct of district business; demonstrates teamwork in daily activities.

Is prompt and timely in completing daily tasks.
    28. Meets attendance standards and complies with notification procedures for absences.
    29. Provides complete and accurate information in the conduct of district business.
    30. Maintains confidentiality regarding personnel matters in the conduct of district business.
    31. Complies with district policies, state and federal laws and regulations as well as special education policies and procedures.
    32. Adheres to the district’s policies and procedures.
    33. Participates in staff development training programs to improve job performance.
    34. Participates in meetings and special events as assigned.

EQUIPMENT USED:
Uses computer (Microsoft Office, Nut Plus, Presentations, SPED, ISERIES), typewriter, printer, copies, microfilm recorder, viewer, printer machine.

WORKING CONDITIONS:
Mental Demands: 
Reading; ability to communicate effectively (verbal and written); maintain
emotional control under stress.
Physical Demands/Environmental Factors: 
Repetitive hand motions; moderate standing, stooping, bending, and lifting; prolonged use of computer; works with frequent interruptions; stands at copy machine for prolonged periods of time.
