737B – Receptionist/Switchboard, Gary complex/Advanced Academics


REPORTS TO: Coordinator of Advanced Academics

QUALIFICATIONS:        

  1. High school diploma or GED   
  2. Demonstrates interest in and aptitude for work to be performed
  3. Ability to operate office equipment and doorbell system, keyboarding and computer proficiency.
  4. Have receptionist/switchboard experience or background
  5. Have experience related to working with students or parents

JOB GOALS:                 

  1. To professionally greet visitors to campus, answer the phones and door, and perform simple clerical tasks.
  2. To manage files and testing materials.
  3. To assist with building management duties.

TERMS OF EMPLOYMENT: Noncontractual (At-will); Clerical/Technical Paygrade 2 Estimated 204 days; estimated 8 hours daily Wage/hour status: Nonexempt


MAJOR RESPONSIBILITIES AND DUTIES

 

1.

Receive and direct incoming calls, take reliable messages, and route to appropriate staff.                                  

2.

Greet and direct visitors to the Gary Complex and TARGET Academy.

3.

Assist public, staff, and students as needed. 

4.

Maintain visitor log and issue visitor passes; assist parents in checking TARGET students in and out of school.

5.

Prepare mailing and labels using personal computer.

6.

Sort, distribute, or deliver mail, messages, and other documents.

7.

Operate the remote entry doorbell system to admit visitors to the Gary Complex.

8.

Assist with TARGET transportation and food service arrangements.

9.

Assist in orienting TARGET substitutes to the campus procedures.

10.

Assist with preparation of materials for mailing, including preparing labels, stuffing envelopes, etc.

11.

Provide clerical assistance as needed including management of records and testing materials.

12.

Duplicate, collate, and bind instructional materials for TARGET teachers and Coordinator of Advanced Academics.

13.

Assist staff members with outgoing FAX and receive and route incoming FAX messages.

14.

Requisition and maintain accurate inventory of workroom supplies.

15.

Assist in maintenance of Gary Complex by entering work orders and communicating with custodial staff.

16.

Complies with directions and instructions from supervisor; performs other tasks and assumes such responsibilities as may be assigned.

17.

Maintains positive and cooperative working relationships with colleagues and others in the conduct of district business and demonstrates teamwork in daily activities.

18.

Is prompt, timely, and thorough in completing assignments and attending to details accurately and efficiently.

19.

Meets attendance standards and complies with notification procedures for absences.

20.

Provides complete and accurate information in the conduct of district business.

21.

Maintains confidentiality in the conduct of district business.

22.

Complies with district policies, as well as state and federal laws and regulations.

23.

Adheres to the district’s safety policies and procedures.

24.

Participates in staff development training programs to improve job performance.

25.

Participates in faculty meetings and special events as assigned.

 

EQUIPMENT USED: Uses multi-line phone system, personal computer, typewriter, copier.

Work with frequent interruptions; continuous sitting.
