736A - AVID PROGRAM CLERK


REPORTS TO:  AVID DIRECTOR

QUALIFICATIONS:

  1. High School Diploma or GED.

  2. Fifteen hours college credit with some business orientation; or equivalent business school background; or three years of general clerical/secretarial experience.

  3. Keyboarding and computer proficiency.

  4. Computational, organizational, and communication skills.

JOB GOAL:

  1. To ensure the efficient operation of the AVID Program and provide clerical services to the Director of the program.


TERMS OF EMPLOYMENT:  Noncontractual (At-will); Clerical/Technical Paygrade 3; Estimated 226 days; estimated  8 hours daily Wage/Hour Status:  Nonexempt


MAJOR RESPONSIBILITIES AND DUTIES
 

  1.  

Prepare correspondence using approved software and assigned computer.  Operate the computer effectively, timely, and efficiently.

Answer phones, take messages, direct messages as required.

Greet guests and visitors positively. 

  1.  

Perform routine bookkeeping tasks.

  1.  

Receive, sort and distribute mail and other documents to department staff.

  1.  

Maintain a regular filing system and process incoming correspondence as instructed.

  1.  

Assist in typing and updating memos and letters as assigned by the director.

  1.  

Order and maintain supplies as needed.

  1.  

Operate copy machines, adding machines, network printers, and laminator.

  1.  

Input purchase order requests.

  1.  

Maintain budget.

  1.  

Monitor and process personnel time records including leave requests and reports;   compiles information and submits to payroll department.

  1.  

Make room reservations and refreshment arrangements for meetings.

  1.  

Arrange travel for director.

  1.  

Complies with directions and instructions from supervisor and performs other tasks and assume such responsibilities as related to the position and assigned.

Maintains positive and cooperative working relationships with colleagues and others in the conduct of district business and demonstrates team work in daily activities.

Is prompt and timely in completing assignments and attending to details accurately and efficiently.

Is regular in attendance and complies with notification procedures for absences.

Uses personal computer, typewriter, printer, copier, FAX, calculator, and telephone.

Mental Demands:
  Reading, ability to communicate effectively (verbal and written); ability to perform basic arithmetic; maintain emotional control under stress; works with frequent interruptions.

Physical Demands/Environmental Factors:
  Repetitive hand motions; prolonged use of computer terminal; occasionally lifting heavy boxes.
