707 - HEAD START CLERICAL ASSISTANT


QUALIFICATIONS:        

  1. High school graduate or hold a GED certificate;

  2. Have experience related to working with students or parents;

  3. Keyboarding and computer proficiency, with general office experience, preferred

  4. Desire and ability to work with and effectively communicate with staff, students and parents.

 

REPORTS TO: Head Start Director      

JOB GOALS:                 

  1. To assist in the operation of the Head Start Office

  2. To maintain accurate records as required


TERMS OF EMPLOYMENT:  Noncontractual (At-will); Clerical/Technical Paygrade1, 226 days; estimated 8 hrs daily  Wage/hour status:  nonexempt


MAJOR RESPONSIBILITIES AND DUTIES
 

1.

Greet guests and visitors positively; answer inquiries, direct visitors to the appropriate offices.

2.

 

Assist in operating the computer effectively, timely, and efficiently; reviews completed work for content, grammatical construction, format, spelling, and punctuation.

3.

Assist in revising component plans for Head Start (periodically).

4.

Assist in monthly Policy Council and Office Staff meeting notices, agendas, sign-in sheets, and staff meeting in minutes.

5. 

Assist in phoning and/or typing maintenance requests.

6. 

Assists in filing information for quick and easy access and maintaining a follow-up file for pending items.

7. 

Assists in typing, updating and saving memos and letters, as assigned by the Director.

8. 

Assist in maintaining records of local and out-of-state travel.

9. 

Assist in operating the copy machines, adding machines, fax, and laminator.

10. 

Assist in answering incoming calls, taking and relaying all messages.

11. 

Assist in recording the Director of appointments; makes reservations and travel arrangement as necessary.

Assist in the preparation of annual grant proposals for Continuations, One Time, Cost of Living and Expansion funds for the current and on-going school year (grant cycle).

13. 

Assist in maintaining, monitoring, and keeping abreast of the on-going balances, budgets and coding of the Head Start daily, weekly, monthly and yearly expenditures.

14. 

Assist in purchase orders for all billings and items requested from the bid list; assist in ensuring the proper coding of all accounts prior to forwarding to the Accounting and Purchasing departments.

15.

Assist in submitting and providing accurate and timely payments for services rendered to our program.

16. 

Assist in calculating and preparing time cards and time sheets; assists in preparing monthly payroll reports, calculating weekly time cards and monthly absence from duty reports for submitting to the accounting department.

17.

Assist in maintaining accurate finance expenditures and balances on an on-going basis for auditing purpose at any given time, correlating balances with the monthly printout, and ensuring that all incurred costs are allowable.

Assist in exceptions and implementation of auditors recommendations; Assist in assuring the accurate and consistent recording of financial data.

Assist with addressing and mailing student classroom assignment cards.

Assist with enrolling students in emergency situations, and providing enrollment information to parents.

Assist in contacting parents for emergencies.

22. 

Assist in ordering, and maintaining office and classroom supplies.

Knowledge of available materials and their location.

24. 

Assist in labeling, documenting, receiving, and distributing materials.

25.

Comply with directions and instructions from supervisor; performs other tasks and assumes such responsibilities as may be assigned.

26.

Maintain positive and cooperative working relationships with colleagues and others in the conduct of district business and demonstrates team work in daily activities.

27.

Is prompt, timely, and thorough in completing assignments and attending to details accurately and efficiently.
